Mailbox Monitoring Configuration

The Therefore™ Content Connector can monitor mailboxes and automatically save emails and/or attachments to Therefore™. In conjunction with an e-mail indexing profile, index data can also be automatically extracted from the e-mail properties or even out of the e-mail body. The setup consists of two steps: configuring an indexing profile and defining the monitoring profile.

Configuring an Indexing Profile

  1. In the Therefore™ Solution Designer, right-click on the Indexing Profiles node and select 'New E-mail Profile'. This will open the Indexing Profile dialog.

  2. Provide an intuitive name for the new e-mail profile, and in the Filter field, define what information should be extracted from monitored emails' properties. Click the three dots icon, 'Objects' and select a Mail Object from the list. Click OK to save the changes.

  3. Next, specify the category the extracted data should be saved in. Click the three dots icon next to the category field to open the selection dialog. Click OK to save once the correct category has been selected.

  4. Now, customize the information that should be extracted from the email body in the script field. Click on the three dots icon next to the script field to open the script editor dialog and click 'Objects' to select from a list of objects and/or add an advanced script using the 'Common Script' button. Press OK to proceed.

    Note:

    It is possible to add scripts in either JavaScript or Visual Basic Script. Select the preferred scripting language by clicking the script language button.

  5. If auto-append has been configured in the category properties, then the auto-append mode can be specified as different to the category default.

  6. The category's fields can now be matched up. A number of standard email fields are available in the drop-down list, but assignment and error handling using scripting is also possible. Click OK to save the indexing profile.

Defining the Monitoring Profile

  1. In the Therefore™ Solution Designer, right-click on 'Mailbox Monitoring' under the Therefore™ Content Connector node and select 'New'.

  2. Now, define which mailbox should be monitored. Give the profile a name and select the mailbox type.

  3. Next, enter your credentials into the 'Settings' table. The information required in this step will vary with the mailbox type. See the following page for more information:

  4. If a certain folder in the mailbox should be monitored, enter the folder's name under 'Input Folder'.

  5. Add or remove jobs to be performed into the second table on the dialog. The order these jobs are performed in can be altered by moving them up and down. The system will perform the first matching job on the list.

  6. If 'Delete after successful processing' is not checked, then a mailbox folder needs to be created (in the user's mailbox) and specified. All processed emails will be moved into this folder.

  7. Specify another mailbox folder to save emails that cannot be processed under 'Faulty'.

  8. Now the Therefore™ Content Connector will automatically process e-mails based on the configured polling interval and schedule settings.

  9. To check that everything is working open the Therefore™ Console. Under Content Connector click Stop and then Start Scheduler. The new mailbox profile should be listed under Input Sources. You can now wait until the e-mails are automatically processed or click Run manually. The activity log will show what has been processed.

  10. If all is successful, open the test document(s) using the Therefore™ Navigator as a final check.
