Modes

Available modes can be prompted by clicking on the tribar icon (≡) on the top left hand corner of the screen.

Search

In this mode a user can perform both full-text and index data searches, and then view the found document(s). From this mode, users can also edit index data, add files to existing documents, add new files to a category, edit case headers, add new documents to existing cases, and view linked documents.

Note:

  • Users can search the entire repository or specific cases or categories.

  • The ellipses icon next to a category will enable documents to be saved directly into the category.

Workflow

In Workflow mode a user can display their workflow instances. By default, all of the instances in All Processes that have been assigned to (or can be claimed by) a user will be displayed; this list can be filtered by process. Open an instance for processing by tapping on it.

Once an instance within a workflow has been claimed (or was already assigned to the user), a new pane will allow for the selection of further available actions that are relevant to the processing of the document within the workflow. The Actions options list the actions available to the selected workflow instance.

To view the document in the current workflow process, select the 'Document' tab.

To view or edit the index data of the document in the current workflow process, select the 'Index Data' tab.

Note:

  • On tablets, there is a setting that allows to suppress loading the workflow instances.

  • The order of the hit-list is dependent on the date in which it the instance was designated to the user.

  • If a workflow instance is assigned to a specific group of users, a member of the group will be required to claim the instance in question before it can be processed. If an instance has been assigned directly to a specific user, this step is not necessary (and will not appear).

Add New Document

Category Selection Pane
A category needs to be selected before Index Data related to the document can be saved into the category. Select the category you wish to save the document into.

Index Data Pane
Populate the required index data fields and save them along with the document into the category. The associated files can be added in the 'Attachments' tab.

Attachments Pane
Add the required files that are to be saved into the category. The associated index data can be included in the 'Index Data' tab.

Clicking on the ellipses icon next to a category will open a dialog.

Index data only
Opens an Index Data dialog that allows for document metadata to be populated into category fields.

Take photo
Open the default camera application to take a photograph. On the first time that this option is selected, a list of available image capturing applications will open. A default application can be selected so that it is automatically opened each time this option is selected.

Insert file
Opens an attachments dialog that allows for documents to be saved into the selected category.

Note:

  • When saving a photo from the device into Therefore, the photo can be re-sized according to the settings in the Image Settings.

  • The order of the hit list is dependent on the date in which it the instance was designated to the user.

eForms

When clicking on the eForms option, an eForms selection dialog is displayed. Users can continue working on eForms saved as drafts in the 'My Drafts' option or open a new eForm from the listed eForm definitions. These will then open in a third-party browser.
