Assigning Workflow Tasks

There are a number of ways that manual workflow tasks can be assigned to users.

Assign users or groups at design time

Tasks can be assigned to a single user, multiple users and user groups. If a task is assigned to more than one user, or to a group, then all of these users will see the task in their workflow hit-list and will also receive an e-mail notification (if configured). As soon as one of the users claims the task, it will be unavailable to all other users.

On the Assign To tab, select User / Groups to assign to a specific user or group.

Using a User-Split task, tasks can be assigned to all members of a user group in parallel. To do this, on the Assign To tab, select the use-group and check the option 'Expand groups on assignment'.

Assign users or groups at run-time

Tasks can be assigned at run-time in two different ways:

  • The user who completes the preceding task much choose the user / group for the next task.
    If the user or group should be chosen from a defined pool, then select the relevant users / groups from which the selection should be made. Additionally, check the box 'User must choose from these Users / Groups'. If the pool of users is already contained in a user group, then select this group and check the 'Expand groups on assignment' box.

  • The user / group is defined by an index field.
    Select 'User from Index Data Field' on the Assign Tab.

Note:
If mixed security is enabled, then the e-mail address or domain / username must be used when assigning users in a workflow.  Where mixed security is not used, the username is sufficient to identify the user.
