Mailbox Monitoring
It is possible to define mailboxes that will be monitored and automatically save e-mails and or attachments to Therefore™.
A right-click on the object opens a context menu from which a new mailbox monitoring profile can be created.
New
Opens the Mailbox Monitoring dialog from which a new mailbox monitoring profiles can be defined.
Export
Export mailbox monitoring profiles.
Mailbox Monitoring Dialog
Right-clicking on the Mailbox Monitoring node and selecting 'New' will open an empty Mailbox Monitoring dialog. For an existing configuration, this dialog can be opened by double-clicking on an existing configuration below the Mailbox Monitoring node.
Name
Enter a name for the mailbox monitoring profile.
Type
Choose the type of mailbox monitoring.

Microsoft is planning to stop support for the Exchange Web Service on October 1, 2026. For new configurations switching to a method relying on the Graph API is recommended. |
Exchange (Online) - EWS
Set up a monitoring profile for Microsoft Exchange Online via the Exchange Web Service.
Exchange (Online) - Graph API as App
Set up a monitoring profile for Microsoft Exchange Online via an application in Microsoft Entra ID.
Using this option requires configuring an application with the following permission scopes in the Microsoft EntraID portal:
- Mail.ReadWrite
- User.Read
Exchange (Online) - Graph API as User
Set up a monitoring profile for Microsoft Exchange Online using an external service account running in Microsoft Entra ID.
Using this option requires configuring an application with the following permission scopes in the Microsoft EntraID portal:
- Mail.ReadWrite
- User.Read
Exchange (On-Premise)
Set up a monitoring profile for Microsoft Exchange On-Premise via the Exchange Web Service.
Gmail
Set up a monitoring profile for Gmail.
IMAP4
Set up a monitoring profile for an email provider that supports IMAP4.
The settings available in the Mailbox Monitoring dialog depend on the configuration type selected under 'Type' since different providers require different types of authentication.
E-mail
The e-mail address of the account used to authenticate against the provider.
Tenant
The EntraID tenant the application is running on.
Client ID
The Client ID of the application that is used for monitoring the inbox.
Client Secret
The Client Secret of the application that is used for monitoring the inbox.
Username
The username of the account that should be monitored if the provider uses username and password authentication.
Password
The password of the account that should be monitored.
Exchange Web Services URL (EWS only)
The URL of the Microsoft Exchange Web Services. This can be determined automatically, but will be quicker if specified.
Server (IMAP4 only)
The URL of the IMAP4 server.
Port (IMAP4 only)
The appropriate port on the IMAP4 server.
Security (IMAP4 only)
The security protocol used when connecting to the IMAP4 server. Choose from either None, Implicit TLS/SSL or Explicit TLS/SSL depending on the port number. Common ports are 143 (use either None or Explicit TLS/SSL security) and 993 (use Implicit TLS/SSL security).
Input Folder
The name of the folder that should be monitored. Only the folder name should be specified and not the path.
Jobs
Jobs can be added, removed and the order can be moved up and down. The system will use the first matching job in the list. For more information, please see the reference:

Move after Processing
Processed:
If Delete after successful processing is not checked, then a mailbox folder needs to be created (in the user's mailbox) and specified. All processed e-mails will be moved to this folder.
Faulty:
A mailbox folder needs to be created (in the user's mailbox) and specified. All e-mails that could not be saved will be moved to this folder. Indexing errors are handled in the indexing profile and by default reported in the Windows Event Viewer.
Polling Interval
This determines how often the service will check for new e-mails. By default this is 10 min.
Disable Processing
Check this box to manually disable/enable processing from this input source.
